Protection of Confidential and Sensitive Documents/Communications


The Client – An International Company with 3,000 UK branches.

The Brief

  • Demand for 172 nationwide branches to have a mailing to each of their customers.
  • Three distinct customer categories, each needing elements of different text on their letters, such as individual branch addresses and contact telephone numbers.
  • Each letter required the correct branch manager’s signature, as well as each customer’s preferred way of being addressed.
  • Timescale of two weeks, in line with the clients plans for press and television coverage.

The Solution – Aims Direct created a hard-copy form, which was given to the branches and this held in it all of the customer details that were on file. We left blank fields in which the managers could enter the customer’s preferred greeting, and make any other necessary edits to the information. Another form was created which the managers used to provide to us a copy of their signatures (this totalled 1200). We updated our records with this information, and could now scan their signatures and keep them on file.

Once scanned, any distortion of the signature’s image was tidied-up and stored securely in a database, with the manager’s name and branch ID contact data. This database was then the component which created and printed the correct letters, personal and appropriate to each customer.


The Result – A more than satisfied customer – our staff received twelve bottles of champagne as an expression of the clients’ appreciation for their hard work, and the success of the project. The client now also had a database that they could continually use for their future projects.
