Storage & Despatch solutions for a Leisure Company

The Client - Operating in the Leisure Industry, with more than 250,000 members. 

The Brief – To have enough stock that we would always be able to put together and send the clients’ membership and enquiry packs. Each day, the client would send to us the new members’ letters, along with the membership cards and enquiry letters and provide matching address labels for them. We would put the appropriate letters in the packs, attach the correct label and despatch them via Royal Mail.


Action – Making the packs up in advance was the most cost-effective way to process the job. Membership cards and letters were put into self-sealing plastic envelopes, with the matching address labels stuck on. Until we had checked that the address labels matched the addressee of the letter inside the envelope, we did not seal them. After this quality-check, the packs were despatched using one of our carriers.

Observations – The letter had no signature, and we felt that we could improve the visual quality of the letter. We obtained a copy of the Director Generals signature to add to the letter, improved the font, printed it in-house and sent this example to the client – who was so impressed, they decided that we should produce this better-quality version of their letter for them. It was very straightforward for them to send us their files each day for us to print. Additionally, by using our own choice of carrier, we saved the company £30,000 in the first year alone.

Conclusion – As our relationship with this client has developed over time, they have outsourced all of their direct mail and distribution needs to us. We feel that our pro-active work style and attention to detail has helped them to put their trust and confidence in us, and they know that we are able to meet their changing needs as a company.
